OPERATIONS COORDINATOR
An exciting opportunity has arisen for a Department Operations Coordinator to support the smooth running of a leading academic institution. This varied role combines administrative, financial, HR, and operational responsibilities, providing essential support to faculty and enabling excellence in teaching and research. OPERATIONS COORDINATOR ROLE:
- Provide comprehensive financial administration support, including processing invoices and purchase orders, supplier setup, expense claims, journal transfers, timesheet administration, and Virtual Credit Card requests in line with university policies
- Support research and grant activities by coordinating Research Assistant recruitment, administering consultancy agreements, liaising with Faculty Finance teams, and providing faculty members with financial information relating to research budgets
- Coordinate recruitment and HR processes, including arranging interviews, managing recruitment administration through Talent Link, supporting onboarding activities, processing HR documentation, and maintaining records for temporary and visiting staff
- Deliver proactive administrative support to faculty members, including coordinating travel arrangements, managing visitor logistics, and facilitating visits for external academics, conference speakers and researchers
- Maintain effective departmental administration through inbox management, document control, meeting coordination, record keeping, and ensuring the accuracy of operational data and shared filing systems
- Oversee departmental resources and communications, including maintaining web and intranet content, monitoring office supplies and equipment, and directing queries to the appropriate teams
- Organise departmental events and visits, coordinating logistics such as venues, catering, communications, registrations, budget monitoring and associated administrative requirements
- Represent the Department at committee meetings when required, undertake relevant training, and contribute to the continuous improvement of departmental operations and service delivery
OPERATIONS COORDINATOR ESSENTIALS:
- Bachelor's degree or equivalent experience in administration, management or a related field
- Demonstrable experience of financial responsibility and budget management
- Experience working within higher education or a related environment, including supporting faculty members or academic operations
- Ability to work flexibly and adapt effectively within a changing environment while adhering to established procedures and regulations
