Executive Assistant to CEO and Chair
Location: Central London (hybrid – approx. 40% office-based) Contract: Permanent | Full-time (35 hours per week) Salary: £36,000
The Opportunity
An exciting opportunity has arisen for an experienced and highly organised Executive Assistant to support a CEO and Chair within a purpose-driven organisation. This is a pivotal role at the heart of the organisation, ideal for someone who thrives in a fast-paced environment and enjoys providing high-level support while contributing to the smooth running of senior leadership and governance.
The Role
Reporting directly to the CEO, you will provide comprehensive executive and governance support to both the CEO and Chair. You will play a key role in ensuring effective diary management, coordinating key meetings and supporting Board and committee processes. This is a varied and high-impact role requiring excellent judgement, discretion and the ability to manage competing priorities.
Key responsibilities include:
• Providing proactive executive support including diary management, travel arrangements, expenses and inbox management • Preparing and coordinating key meetings, including agendas, papers and briefing materials • Managing logistics for meetings, including welcoming visitors, room setup and catering • Taking accurate minutes and following up on actions • Supporting Senior Leadership Team meetings, including planning, coordination and documentation • Acting as a key point of contact for senior stakeholders, ensuring smooth communication across teams • Organising Board and committee meetings, including scheduling and preparation of papers • Coordinating governance processes, including maintaining documentation and action logs • Supporting trustee administration, including recruitment, induction and ongoing engagement • Overseeing the organisation of internal events, away days and stakeholder meetings • Providing cover and support across the wider EA team when required
About You
Essential: • Proven experience as an Executive Assistant at senior leadership or CEO level • Experience supporting boards or committees, including preparing packs and taking minutes • Excellent organisational skills with the ability to manage multiple priorities • Strong written and verbal communication skills • High level of discretion and ability to handle confidential information • Strong IT skills, particularly Microsoft Office and willingness to learn new systems • Proactive, resourceful and able to use initiative • Strong attention to detail and ability to work to deadlines
Desirable: • Experience working within a charity, public or purpose-driven organisation • Familiarity with governance processes and board management systems
