The Professional Services Administrator / Assistant is required to provide key administrative and business support for a couple of Vice Presidents in EMEA. The EA will have the ability to exercise good judgment and confidentiality in a variety of situations, with strong written, verbal communication, administrative, and organizational skills, along with the ability to maintain a realistic balance among multiple priorities. This is a full time, permanent role and you will be required to work 3 days a week from our office in Farnborough.
A Typical Day in the Life Includes:
- Arrange and manage rapidly changing and complex calendars on a global scale
- Manage domestic and international travel, flights, hotels, and ground transportation
- Participate in management team calls, issue agendas, take minutes and monitor actions
- Event coordination and project management for executive(s) and customer visits
- Coordinate divisional workshops, team events, offsites and town halls
- Process expense reports, ensuring accurate cost allocation and adherence to expense policy
- With extensive experience/knowledge in Tecom/Freezone visa processing
- Ensure all employees new visa/ renewal processes are completed in a timely manner
- Issue HR letters (e.g., salary certificates, employment letters, NOCs)
- Review and prioritize emails and follow up on urgent action items
- Assist with PPT presentations
- Communicate in a positive and professional manner with internal and external clients on behalf of their executive
- Type letters, reports and other correspondence as required
- Provide general administrative support
Basic Qualifications:
- Proven experience of supporting senior executives within a high-paced environment
- Exceptional written and oral communication skills
- High level of flexibility and adaptability
- The ability to multitask and prioritise an everchanging workload
- Excellent word processing and IT skills
- The ability to work under pressure and to tight deadlines, strong sense of urgency
- Good organisational and time management skills
- Excellent interpersonal skills
- Strong attention to detail
- Discretion and an understanding of confidentiality issues
