Ortus PSR
IFA Administrator – Edgware, London | hybrid working | £28,000–£35,000
We are working with a well-established, independently owned financial advice firm based in Edgware to recruit an experienced IFA Administrator. The firm specialises in providing holistic financial planning advice to high-net-worth private clients and has built a strong reputation for service quality and long-term client relationships.
This is a hands-on administration role at the heart of the advice process. You will support a team of Financial Advisers and ensure the smooth, accurate, and compliant processing of new business, client reviews, and ongoing case management — working with clients whose financial arrangements are often complex and high value.
WHAT YOU WILL BE DOING
- Acting as a first point of contact for HNW clients by phone and email — managing queries professionally and ensuring a consistently high standard of service
- Processing new business end to end — preparing application packs, submitting to providers, chasing progress, and issuing policy documents to clients
- Preparing client valuation reports and review packs ahead of adviser meetings
- Maintaining accurate and compliant client records on the back office and CRM system
- Uploading file notes and ensuring all post-meeting action points are completed within agreed timescales
- Liaising with product providers and platforms on behalf of advisers and clients
- Ensuring all documentation is accurate, complete, and compliant with FCA requirements before submission
- Supporting advisers with diary management and client meeting organisation where required
WHAT YOU WILL NEED
- Experience in an IFA or Wealth Management administration role
- Demonstrable experience working with provider platforms and processing new business
- Strong working knowledge of FCA compliance requirements in a regulated advice environment
WHO THRIVES IN THIS ROLE
This role suits an IFA Administrator who takes pride in running a smooth operation behind a team of advisers. The clients in this firm are high-net-worth individuals with complex financial arrangements — they expect prompt, accurate, and professional service at every touchpoint.
You will need to be organised, calm under pressure, and able to manage a varied workload across multiple advisers and cases simultaneously. Equally important is the ability to communicate clearly and confidently with clients directly — this is not a purely back-office position.
