Truck Sales Administration Supervisor

The Truck Sales Administration Supervisor is responsible for overseeing the administrative and operational activities of the Truck Sales department, ensuring efficiency, accuracy and compliance with company and manufacturer standards. Working closely with Sales and Finance teams, the role supports stock management, factory and dealer transfers, invoicing, vehicle adoptions and cash flow management. The position is also responsible for reporting, vehicle control, departmental systems and cost management, whilst leading and developing the Sales Administration team.
Key Responsibilities
- Manage truck stock levels across all ranges, including factory orders and inter-dealer transfers.
- Monitor and report on operational and administrative costs, including stocking, delivery and subcontractor charges.
- Oversee vehicle control on-site and at third-party locations, ensuring accurate tracking and documentation.
- Coordinate vehicle movements and maintain accurate stock records.
- Ensure vehicle checks are completed on all incoming and outgoing units.
- Manage the Kerridge system, including the accurate processing of purchase invoices.
- Support invoicing, vehicle adoptions and cash flow management in conjunction with Finance and Sales teams.
- Ensure all accounting procedures are completed accurately and within required timescales.
- Reconcile vehicle stock and sales transactions where required.
- Produce, maintain and analyse management reports to support business decisions and identify trends.
- Ensure records are archived and retained in line with regulatory requirements.
- Maintain compliance with dealer standards, manufacturer requirements and company policies.
- Build strong relationships with internal departments, manufacturer contacts and external suppliers.
Team Management
- Provide day-to-day management of Sales Administrators and Sales Drivers.
- Train and support team members in Kerridge, AFRL and departmental procedures.
- Set objectives, monitor performance and support employee development.
- Manage holiday and sickness cover to ensure continuity of service.
Skills & Experience
The successful candidate will have exceptional attention to detail and strong analytical skills, with the ability to interpret data, produce accurate reports and support effective decision-making. Previous team management experience is essential, with the ability to coach, develop and motivate staff while maintaining high standards of performance and customer service. Applicants must have strong administration experience gained within sales administration, stock control, vehicle administration or a similar operational environment.
Automotive industry experience is essential, with experience within the truck or commercial vehicle sector highly desirable. Candidates from wider automotive backgrounds will also be considered.
Priority Requirements
- Exceptional attention to detail and strong data analysis/reporting skills.
- Proven team management, coaching and staff development experience.
- Strong administration experience within sales administration, stock control or vehicle administration.
- Automotive industry experience essential; truck/commercial vehicle experience preferred.
