Facilities Manager

An exciting opportunity has arisen for a Facilities and Executive Assistant to oversee the day-to-day operations of a well established businesses headquarters. This role involves providing support and liaising with all teams using the site, coordinating site maintenance, and occasionally assisting with another site. The Facilities Manager will also perform Executive Assistant duties to the Group Innovation & Product Development Director.
Day-to-day duties of the role:
- Manage the daily operations of site, ensuring high-quality facilities management in a cost-efficient manner.
- Line manage onsite cleaner to maintain high standards of cleanliness and hygiene.
- Maintain records for easy future maintenance, manage site security systems and coordinate with external contractors and service providers.
- Manage the annual budget including the AOP process, tendering and sourcing external suppliers.
- Act as the main point of contact for internal and external visitors, ensuring smooth coordination of visits including parking, catering, and meeting room preparations.
- Provide administrative support across various office functions to ensure smooth site operations.
Required Skills & Qualifications:
- Excellent verbal and written communication skills.
- Proven ability to interact effectively with colleagues at all levels and external parties.
- Strong mathematical and accounting skills to manage budgets and identify cost-saving measures.
- Customer service-oriented with a focus on occupant and stakeholder satisfaction.
- Analytical thinking and problem-solving abilities.
- Business management skills including prioritisation, scheduling, and strategic planning.
- Proficiency in Google Suite (Sheets, Slides, Meet, Docs).
- Experience in facilities management and executive assistant/administrative roles.
- Ability to work under pressure and handle sensitive or confidential matters with integrity.
