Help Desk Administrator
Central London | Full-Time | Office Based
We are recruiting for an organised and proactive Help Desk Administrator to join a busy operations team supporting property maintenance and facilities projects across London.
This position is ideal for someone with previous helpdesk, facilities management, maintenance coordination, or service administration experience who enjoys working in a fast-paced environment and managing multiple priorities.
Key Responsibilities
- Coordinate maintenance requests and service activities from initial enquiry through to completion
- Allocate work orders and schedule engineers, contractors, and specialist suppliers
- Monitor service delivery and ensure works are completed within agreed timescales
- Maintain accurate records across internal systems and databases
- Update asset information and support operational reporting requirements
- Produce and maintain spreadsheets, reports, and performance data
- Liaise with clients, contractors, and internal teams regarding ongoing works
- Assist with workforce planning, scheduling, and resource allocation
- Support the wider operations team with administrative and coordination duties
Commercial & Administrative Support
- Process purchase orders, invoices, and related documentation
- Assist with cost tracking and contract administration activities
- Maintain accurate financial and operational records
- Support the preparation of management information and client reports
Skills & Experience
- Previous experience within maintenance coordination, facilities management, helpdesk support, or service administration
- Strong organisational and time management skills
- Experience using maintenance management, facilities management, or workflow systems
- Good working knowledge of Microsoft Excel and Microsoft Office
- Excellent communication skills and attention to detail
- Ability to manage competing priorities in a busy operational environment
