Part-Time Legal Receptionist

A well-established and highly regarded law firm in Portsmouth is seeking a professional and personable Part-Time Legal Receptionist to join its busy front-of-house team. This role is crucial in providing an efficient and friendly first point of contact for clients, visitors, and colleagues. The successful candidate will have excellent communication skills, strong organisational ability, and a proactive approach to supporting a fast-paced legal environment.
Day-to-day of the role:
Switchboard & Enquiries
- Answer and manage incoming calls promptly, directing them to the appropriate person or department.
- Take and relay accurate messages where required.
- Monitor voicemail messages and ensure timely communication to relevant staff.
- Log all new client enquiries onto internal systems.
- Promote direct dial usage and manage internal call requests.
Front of House Duties
- Welcome all visitors in a courteous and professional manner.
- Manage the reception area, ensuring a tidy and presentable environment at all times.
- Coordinate visitor arrivals, notify staff, and manage waiting areas.
- Issue visitor badges where required and maintain sign-in procedures.
- Handle deliveries and provide general assistance to visitors.
Meeting Room Coordination
- Book and manage meeting rooms, ensuring schedules are kept up to date.
- Prepare rooms for client meetings and interviews where necessary.
Administrative Support
- Assist with post handling, including recorded and special deliveries.
- Maintain attendance and absence records.
- Support file archiving, retrieval, and destruction processes.
- Process payments using the firm’s online system and prepare credit slips.
- Assist with photocopying, ID certification, and general office duties.
- Provide ad hoc administrative and typing support to fee earners and management.
Additional Duties
- Support banking processes and cheque handling.
- Handle internal document and deeds management systems.
- Provide holiday/sickness cover for colleagues when required.
Compliance
- Adhere to all relevant regulatory and compliance requirements, including professional conduct, accounts rules, and data protection.
- Follow firm policies relating to money laundering and client confidentiality.
Required Skills & Qualifications
- Previous reception or front-of-house experience (legal environment desirable but not essential).
- Excellent communication and interpersonal skills.
- Strong attention to detail and organisational skills.
- A professional, friendly, and approachable manner.
- Ability to multitask and work efficiently in a busy environment.
