Legal Secretary/Receptionist

My client, a leading international law firm are looking for an experienced Legal Secretary to join their growing team, note this role will also require an element of Front of House support.
Key Duties
- Provide comprehensive administrative support to the legal team, including managing calendars, monitoring inboxes, screening calls, and responding to routine enquiries where appropriate.
- Ensure lawyers' time entries are recorded accurately and submitted in a timely manner.
- Coordinate domestic and international travel arrangements, including transport and accommodation bookings.
- Prepare, edit, proofread, and format a range of legal and business documents, incorporating revisions and tracked changes as required.
- Handle day-to-day document production tasks, including printing, scanning, copying, and electronic filing.
- Process expense claims and supplier invoices using the firm's financial systems.
- Maintain organised electronic records and document management systems to ensure information is easily accessible.
- Work closely with administrative colleagues across international offices to provide seamless support.
- Offer general operational and administrative assistance to the wider office as required.
- Support the client onboarding process by assisting with matter opening procedures, conflict checks, and coordination with relevant internal teams.
- Prepare and distribute regular work-in-progress reports for clients and internal stakeholders.
- Draft client invoices, obtain the necessary approvals, and arrange for their timely issue.
- Produce detailed billing summaries and supporting narratives to accompany invoices.
- Prepare correspondence relating to billing matters on behalf of fee earners when required.
- Liaise with the finance and billing teams to ensure accurate and efficient invoice processing.
- Manage front-of-house responsibilities, providing a professional welcome to visitors and ensuring an excellent client experience.
- Arrange courier services, taxi bookings, and other logistical requirements for the office.
- Organise internal and external meetings, including room bookings, catering arrangements, and meeting set-up.
- Monitor office stock levels and arrange the purchase of stationery, kitchen supplies, and other essential items.
- Maintain the presentation and organisation of reception, meeting rooms, and shared office areas.
- Issue visitor passes, maintain visitor records, and ensure reception procedures are followed.
