Legal Secretary

My client, a leading international law firm are looking for an experienced Legal Secretary to join their Luxembourg team.
Key Duties
- Serve as the primary administrative contact for designated legal professionals, managing incoming calls, responding to routine enquiries, and directing communications to the appropriate individuals.
- Coordinate and maintain busy schedules, ensuring appointments, meetings, and deadlines are effectively managed.
- Prepare, edit, and proofread a variety of business documents, including correspondence, engagement documentation, presentations, and client communications.
- Produce high-quality documents by formatting, revising, and converting files across Microsoft Office applications, including PowerPoint presentations.
- Organise domestic and overseas travel arrangements, including transport, accommodation, and associated itineraries.
- Assist with the accurate recording of time and provide administrative support relating to timesheets where required.
- Arrange internal and external meetings, including booking meeting rooms, coordinating refreshments, and managing meeting logistics.
- Process and monitor expense claims in accordance with company procedures.
- Provide flexible administrative assistance to colleagues across the wider team as business needs require.
- Deliver a comprehensive administrative support service, undertaking additional duties as appropriate to ensure the smooth running of the department.
- Complete any jurisdiction-specific administrative or regulatory tasks required under applicable local legislation.
- Support the onboarding of new client matters by preparing the necessary documentation and coordinating matter setup.
- Assist with conflict checking procedures and work closely with the relevant compliance and client onboarding teams to facilitate new instructions.
- Prepare and submit matter opening documentation, ensuring records are accurate and complete.
- Help maintain information barriers and insider registers where required, ensuring compliance with internal policies.
- Provide administrative support for billing activities, including responding to billing queries and assisting with invoice preparation when requested.
