Role Overview:
As a Gas Installation Coordinator, you will play a crucial role in ensuring the smooth operation of our installation services. You will be responsible for managing the daily activities of our engineers, processing timesheets, and coordinating with subcontractors to ensure that all jobs are completed efficiently and effectively. Your attention to detail and ability to communicate effectively will be key to your success in this role.
Key Responsibilities:
- Communicate with agencies and subcontractors via phone and email regarding timesheets and job requirements.
- Ensure all works issued have the necessary information and materials ordered for first-visit completion.
- Raise orders for subcontractors and approve timesheets for payment.
- Process timesheets and liaise with the accounts department for timely payments.
- Approve scaffolding invoices and maintain the in-house scaffold register, sending updates to clients monthly.
- Update various portals to register newly installed gas appliances.
- Prepare invoicing packs and manage purchase orders for both current and future jobs.
- Maintain and send weekly updates of the planned work list to clients.
- Clear outstanding purchase orders and manage engineers’ diaries for job scheduling.
- Take action on relevant emails regarding orders and materials.
- Carry out any reasonable management requests and ad hoc duties to support the installation department.
