Our client is a successful family-run business with over 40 years of trading history They are looking to recruit an experienced and organised Office Manager to oversee the smooth day-to-day running of their office.
This is a varied role offering responsibility across office administration, facilities management, staff support, fleet coordination, and general business operations. The successful candidate will be a key member of the team, ensuring the office runs efficiently while providing support across all areas of the business.
Key Responsibilities
Office & Facilities Management
- Managing reception and telephone enquiries
- Organising incoming deliveries and post
- General office administration and day-to-day office management
- Coordinating office facilities, including cleaning, utilities, waste management, air conditioning and maintenance providers
- Managing service contracts and renewals
- Coordinating repairs, maintenance visits and supplier relationships
- Managing office security systems, alarms and staff access fobs
- Ordering stationery and maintaining office supplies
- Managing filing, archiving and document control
- Overseeing health and safety supplies, signage and first aid provisions
Administration & Office Support
- Managing office records, filing systems and company documentation
- Supporting day-to-day administrative activities and ensuring efficient office operations
- Assisting directors and colleagues with general administrative tasks, reporting and project support as required
Fleet Management
- Managing administration for company vehicles
Staff Support & HR Administration
- Managing holiday and absence records
- Timesheet administration
- Coordinating DBS checks
- Maintaining subcontractor and supplier records
- Organising staff training and development activities
- Supporting HR administration and staff onboarding
Travel, Events & Marketing Support
- Booking travel and accommodation
- Organising company meetings, social events and staff functions
- Coordinating customer Christmas gifts and seasonal events
- Managing company social media accounts
- Supporting marketing and company communications
Project & Operational Support
- Assisting with tender submissions and document preparation
- Supporting the production of Operation & Maintenance (O&M) manuals
- Providing administrative support to directors and project teams
- Assisting with business improvement initiatives and operational projects
Person Specification
- Previous experience as an Office Manager, Office Administrator or similar role
- Strong organisational and communication skills
- Ability to manage multiple priorities and work independently
- Good working knowledge of Microsoft Office
- Experience using Xero, Sage, QuickBooks or a similar business/accounting system
- A proactive, hands-on and flexible approach
- Friendly, professional and reliable
