IT, Facilities & Fleet Manager – Operations Manager
Location: Leatherhead
Salary: £40,000 per annum
Role Summary
The IT, Facilities & Fleet Manager is responsible for overseeing the organisation's IT infrastructure, office facilities, vehicle fleet, and supplier contracts. The role ensures systems, properties, and operational services are managed efficiently, securely, and cost-effectively while supporting organisational objectives and maintaining compliance with relevant policies and legislation.
Key Responsibilities
IT & Infrastructure
- Manage the relationship and performance of the external Managed Service Provider (MSP), including SLA monitoring and service reviews.
- Oversee IT security, Cyber Essentials accreditation, IT assets, user access controls, backups, and disaster recovery arrangements.
- Maintain oversight of website security, performance, and access controls.
- Support and deliver IT projects, systems improvements, and technology initiatives across the organisation.
Facilities Management
- Ensure the effective operation, maintenance, and safety of all offices and properties.
- Manage property contracts, leases, insurance, office moves, security, and workplace standards.
- Promote a safe and compliant working environment.
Fleet Management
- Oversee the organisation's vehicle fleet, including procurement, returns, insurance claims, fuel contracts, GPS tracking, and P11D processes.
- Maintain fleet policies and ensure compliance across all company vehicle users.
- Line manage the Fleet Administrator and provide support to stakeholders.
Contracts & Supplier Management
- Manage supplier relationships, contract renewals, and the contract register.
- Monitor service delivery, negotiate value for money, and approve invoices in a timely manner.
- Support budget management and work closely with Finance on supplier accounts.
Leadership & General Responsibilities
- Lead and support team members to deliver an efficient and customer-focused service.
- Maintain accurate records and ensure compliance with data protection, health and safety, and organisational policies.
- Support project delivery, operational planning, budget management, and continuous process improvement.
- Build positive relationships with internal and external stakeholders and represent the organisation professionally.
Key Skills & Experience
- Experience managing IT infrastructure and third-party IT providers.
- Knowledge of cyber security, business continuity, and systems administration.
- Experience in facilities, fleet, and contract management.
- Strong project management, organisational, and budget management skills.
- Excellent communication, leadership, and stakeholder management abilities.
- Good understanding of health and safety, compliance, and data protection requirements.
