Personal Assistant to Managing Director
Office-based (full-time) – Shrewsbury – No Hybrid / Remote work
£28,000 – £33,000 DOE
Monday – Friday | 9:00am – 5:00pm

- A 1-hour lunch (taken between 12–2pm)
- Flexibility start / finish available (e.g. 8:00am–4:00pm or 8:30am–4:30pm)
- 25 days holiday (pro rata from start date) + bank holidays
The Role
This is a busy, hands-on PA role working closely with the Managing Director in a fast-paced and sometimes chaotic environment.
You’ll be at the centre of the business – managing communications, supporting client work, and ensuring everything runs smoothly behind the scenes. This role requires someone who can think on their feet, take initiative, and operate independently from an early stage.
Key Responsibilities
PA to Managing Director
- Manage and prioritise all client communications, ensuring timely responses
- Handle MD’s emails and calls, including relaying messages and gathering required information
- Maintain electronic and paper diaries with full and accurate appointment details
- Draft and send emails on behalf of the MD via dictation or instruction
- Organise files and documents for the MD’s daily meetings and visits
Digital Dictation (Essential)
- Produce and amend client documentation using digital dictation
- Work from existing documents (renewals, schedules, letters) rather than always creating from scratch
- Occasionally produce new documentation for new business
Insurance Broking & Administrative Support
- Process policy amendments and liaise with insurers
- Navigate insurer platforms and obtain quotes
- Support account handling including new business, renewals, MTAs, and claims
- Process invoices, data and premium payments using Acturis
- Assist with claims documentation where required
Client & Office Operations
- Maintain professional client relationships and high service standards
- Reception duties including meet & greet for clients and suppliers
- Keep accurate and compliant electronic and paper records (FCA standards)
- Manage incoming and outgoing post daily
Office & Business Support
- Maintain office organisation and general housekeeping
- Manage suppliers (cleaning company, utilities, office equipment, etc.)
- Order stationery and kitchen supplies
- Liaise with internal staff on behalf of the MD
- Support marketing coordination and company promotion
- Organise events and shows (e.g. Oswestry Show – August), including catering and bookings
- Organise client mailouts (e.g. calendars)
- Occasionally assist with personal tasks for the MD
About You
This role is not suited to someone who needs structure or constant instruction. Instead, we’re looking for someone who thrives in a dynamic environment:
Strong comprehension & initiative – you can take instructions (often verbal or dictated) and act on them immediately
Confident & assertive – able to manage expectations and push back when needed
Highly organised – even in a busy, paper-heavy and sometimes cluttered environment
Focused under pressure – able to prioritise and work through distractions
Self-sufficient – comfortable taking ownership from week one
Experience in PA/EA, administration, or insurance/broking roles is highly beneficial.
The Environment
This is a fast-moving, traditional office environment where tasks are often passed across quickly and priorities can shift. You’ll need to be comfortable working with pace, pressure, and autonomy.
