Project Coordinator

We are a thriving family business specialising in refrigeration and air conditioning services across London, Surrey, Kent, and Sussex. We are seeking an experienced Project Coordinator to join our team and contribute to our expanding operations.
Day-to-day of the role:
- Co-manage projects alongside clients and engineers, ensuring smooth operation and timely execution.
- Handle the full coordination of projects, including the placement of orders for plant, equipment, and materials, ensuring delivery deadlines are met.
- Produce project packs prior to project commencement, ensuring all necessary information is available to engineers.
- Develop and implement project cost monitoring, control, and reporting systems.
- Compile and issue Operation & Maintenance (O&M) manuals to clients.
- Produce and finalise Schedule of Rates (SOR) pricing documents and audits.
- Create, issue, and follow up on invoices.
- Collate and verify monthly engineer timesheets and expenses for payroll processing.
- Manage general office queries via telephone and email, arrange meetings, and manage supplier invoices.
- Oversee the standby rota for engineers and manage in-house stock as well as stock required for projects.
- Organise PED (Pressure Equipment Directive) visits.
Required Skills & Qualifications:
- Minimum of 2 years' experience in project coordination, preferably within the Refrigeration or Air Conditioning industry, although this is not essential.
- Strong organisational skills with the ability to plan, organise, and prioritise work in a busy environment.
- Excellent communication and interpersonal skills, capable of effectively interacting with engineers, customers, and suppliers both in writing and over the phone.
- Proficient in multitasking and prioritising in a fast-paced environment.
- High level of accuracy and attention to detail.
