Head Office Administrator – Temporary Contract (3 months)

Hours: 35 hours per week | Flexible working hours between 8am and 6pm
The Opportunity
An established values-led organisation based in Edinburgh is seeking an experienced and highly organised Head Office Administrator to provide comprehensive administrative and secretarial support to its senior leadership team.
This is a varied role offering the opportunity to support governance activities, recruitment processes, HR administration, employee records management, training coordination, and the smooth day-to-day operation of a busy head office.
Key Responsibilities
Executive & Governance Support
- Provide high-quality administrative and secretarial support to the CEO and Management Team.
- Attend Board meetings and produce accurate minutes and meeting documentation.
- Deliver confidential administrative support to the Board of Trustees.
Recruitment & HR Administration
- Coordinate the full administrative process for recruitment and selection activities.
- Prepare contracts of employment, offer letters and contractual amendments.
- Arrange interviews, meetings and employee-related correspondence.
- Maintain recruitment records and ensure processes comply with equality and diversity requirements.
Employee Records & Systems
- Administer Disclosure Scotland processes and associated compliance requirements.
- Maintain accurate employee records and training data.
- Liaise with IT support to arrange user accounts, email access and permissions for new starters.
- Act as a key contact for staff system access queries and support.
Training & Internal Communications
- Coordinate mandatory and professional development training programmes.
- Prepare and distribute regular staff communications and organisational updates.
- Ensure employees receive timely and accurate information.
Office Administration
- Provide reception and telephone cover when required.
- Support the efficient running of the Head Office environment.
- Order office supplies and maintain administrative systems.
- Respond professionally to enquiries from staff, stakeholders and external contacts.
About You
To be successful in this role, you will have:
- Previous experience within a senior administrative, executive support, office management or HR administration role.
- Excellent organisational and time-management skills.
- Strong minute-taking and document preparation experience.
- Exceptional attention to detail and accuracy.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office applications.
- Experience handling confidential information with discretion and professionalism.
- The ability to manage multiple priorities and work independently when required.
