We are looking for a highly motivated and organised Studio Assistant to support our ‘Studio Manager’ ‘Studio and Events Assistant’ and creative teams. This role is designed to ensure the smooth daily operation of our studio. It will involve assisting with a variety of tasks, including organising the studio space, supporting the teams with meetings, and ensuring the studio is well-maintained. The ideal candidate will be proactive, detail-oriented, and have a strong passion for helping others
The role
Monday – Thursday 9am – 3pm
Key Responsibilities
Ensure the studio is clean, tidy, well-presented and well stocked throughout the working day. Specifically, client facing areas. Including plants and flowers where necessary.
Distributed post and deliveries throughout the day.
Supporting the organisation of meetings and other client events. Including making sure meeting room tablets are charged, meeting room tech is charged and working, meeting rooms are fully stocked. Setting up trollies and other refreshments.
Supporting the Studio Manager as a point of contact for studio related queries, studio maintenance and upkeep including waste, recycling collections, confidential waste, food waste, Quooker taps and glass collections.
Transitioning clients and visitors within the studio ensuring they are comfortable and provided for and signposting them to the correct places, making refreshments where necessary.
Supporting Studio and Events Assistant with invoicing and credit card reclaims.
Tracking Studio stationery ensuring that stationary caddies are fully and stocked and presentable
Tracking Studio supplies such as soft drinks, cleaning products, milk, paper and other ad hoc items – Studio Supply cupboard is fully stocked.
Organising and conducting studio visits for student talks, Q&As and events. Conducting studio tours for new joiners and other visitors.
Promptly clearing meeting rooms before / after meetings ensuring that they are presentable for all meetings.
Covering the Studio and Events Assistant where needed; booking of travel, sorting incoming and outgoing mail and deliveries ensuring they reach the correct location.
Supporting the Studio Manager with Health and safety, fire drills where needed.
Occasional Gallery cover
Be available for evening events (typically 6pm-10pm)
Events
Supporting the Studio and Events Assistant and Archive and Gallery Co-Ordinator with events. Including setting up and resetting of the studio for evening talks and events.
Required skills
Prior experience in a studio support role
Strong organisational and multitasking skills with attention to detail
Excellent verbal and written communicator
Friendly and professional with a helpful demeanour
Ability to work collaboratively within the team and independently when required
Ability to use initiative with a willingness to learn
